The following procedure describes how to run reports when Report Share is enabled. You can tell if Report Share is enabled by selecting Report on the left menu. If enabled, the report history list appears. If not enabled, the report templates list appears.
The reporting process works in a very similar way to the scanning process. You launch a report, it runs in the background while you work on other things, you can check the status from the report history list, and when the report is complete, an email summary is sent out with a link to the saved report. The saved report is available to you and your managers. Read About Report Share for more information.
1. Select Report from the left menu.
The report history list appears with running and saved reports.
2. Go to the New menu and select the report type: Scan Report (Template Based and Scorecard), Map Report, Compliance Report (Template Based and Interactive), Remediation Report, or Consultant Report. (Note: The consultant templates and reports are available for Consultant subscriptions only.)
3. Under Report Details, provide a title for your report, select the type of report you want to run and choose a report format. If a report template is required, enter the report template title in the field provided. As you type in this field a filtered list of available templates matching your input appears. Click the Select link to choose from the full list of templates available to you. You'll notice some template types can be imported from the Library. The option "Add Secure Distribution" appears when the Secure PDF Distribution option is enabled for the subscription. This option allows Managers and Unit Managers to encrypt PDF reports with a password and securely distribute the report to users via an email distribution list. See Securely Distribute PDF Reports for more information.
4. Under Report Source, define the report target. This section changes dynamically based on the type of report you're generating and the template you selected in the previous step. For example, if the template you selected already has a target defined, then the target appears automatically. You have the option to overwrite the target before running and saving the report. If the template you selected requires a manual selection of saved results, then click Next to select from a list of saved results to include in the report. See the quick help for specific details for the type of report that you're generating.
5. Click Run to generate your report.
Note that if the report that you are currently generating exceeds your storage limit, then you will be issued a warning but the report will still run and be saved to Report Share. If you had already exceeded your storage limit with a previous report, then the current report will run but it will not be saved. You must delete reports from Report Share or wait for them to expire in order to save new reports.
